Creating and sending a quote
A quote always starts from a project. Two cases:
- an existing quote request, sent by the property manager;
- a work order whose cost would exceed the approved budget — the overrun then has to be approved.
You can also create a spontaneous quote when nobody has asked for anything.
TAYO.pro does not write the quote for you
Section titled “TAYO.pro does not write the quote for you”This is the first thing to understand, and it prevents a lot of confusion.
TAYO.pro does not generate documents. Your quote comes out of your ERP or your accounting software, as usual. TAYO.pro records the document and sends it.
What you enter:
| Field | |
|---|---|
| Amount | required |
| Payment method | required |
| PDF file | required |
| Reference number | optional |
| Attachments | optional |
Nothing else. No line items to retype, no VAT to calculate: all of that is already in your PDF.
Sending it
Section titled “Sending it”Use the Send button — the paper plane icon.
You can attach a message. On paid plans a template message is already filled in: adjust it, or send it as is.
The project then moves to Quote awaiting award.
You can still change it
Section titled “You can still change it”Contrary to what you might expect, a sent quote is not frozen. As long as the client has neither accepted nor rejected it, you can modify it — correct an amount, replace the PDF.
Once they have answered, the quote is locked. You then have to issue a new one.
What happens next
Section titled “What happens next”| The client… | The project moves to… |
|---|---|
| accepts | On-site jobs to schedule |
| rejects | Quotes to process (after rejection) |
| does not answer | stays on Quote awaiting award |
A rejection is not the end: the “Quotes to process” status is waiting for you to decide between a new quote and closing the project.
If you send by post
Section titled “If you send by post”TAYO.pro does not know. You can force the status so your own view stays accurate — knowing that it sends nothing and the property manager will not hear about it.
